Management, Financial and Operational Services include the following:
I. MANAGEMENT AND ADMINISTRATIVE:
- Management and administration of the maintenance and security of the common areas
- Ensuring that the proper insurance for the common areas is in place
- Staff management, including job descriptions and hiring
- Bank in-house payroll service or ADP payroll services
- Communications with condo owners, including the drafting of notices in both French and English
- Assisting in the rollover of the condo management
- Dealing with suppliers and contractors
- On-site management on a regular basis
- Attending Directors’ meetings and preparing reports in both French and English
- Preparing and maintaining all co-owners’ related information
- Assisting co-owners and their representatives in relation to condo sales
- Preparing the required documentation for the annual meeting of the Association
- Maintenance of accounting systems and system updates
- Regular monthly bookkeeping
- Maintenance of condo fee charges and receipts, including bank deposits
- Managing the cheque paying process and preparing cheques for Directors` signatures
- Maintenance of accounts payable including payments and account reconciliations
- Booking of payroll information and issuance of final annual payroll reports, termination papers and all payroll related documentation
- Assisting in the annual preparation of the budget and providing monthly updates on adherence to the budget
- Long-term planning for reserve or contingency funds
- Regular monthly and annual financial reports including:
a) Operating versus budget operating statement
b) Schedule of operating expenses
c) Accounts receivable with collection reports
d) Schedules for special projects and major repairs

- Providing for regular site visits and property inspections
- Receiving service requests and providing corrective action, including 24/7 emergency responses
- Working with the Directors in the preparation of a comprehensive maintenance plan
- Interviewing and hiring maintenance personnel
- Developing job specifications for projects, reviewing and recommending outside contractors, negotiating with such contractors and supervising contractors’ work
